Buyer guide

AI receptionist or a human answering service?

An AI receptionist can suit repeatable call flows such as collecting details, answering approved questions and booking available appointments. A human answering service can suit conversations needing judgment or flexibility beyond that script. Choose around the calls you receive and the handoff a caller needs.

Compare the actual job, not just the voice

A natural-sounding voice is only one part of a reception workflow. The system also needs to identify the caller's request, use correct business information, respect booking rules and hand over when it cannot help. Review representative calls before choosing either option.

Booking is more than creating a calendar event

Define appointment types, eligible staff, buffers, cancellations, timezones and what happens when no slot is available. A caller should receive a clear confirmation only after the booking succeeds. Failed calendar requests need a recovery path instead of a spoken promise that the appointment exists.

Test the difficult calls before launch

  • A caller changes their requested date halfway through the conversation.
  • The calendar has no suitable availability.
  • The caller asks a question outside the approved business information.
  • A person requests a staff member who cannot answer.
  • Background noise or an unclear name makes the information uncertain.
  • The telephony or booking provider returns an error.

Agree on a suitable handoff or callback path. Recording, disclosure and data retention need to be settled for your business and location before deployment.
