Separate the build from the running costs
A form-to-CRM connection and an agent that analyzes business documents have different requirements. A useful proposal separates discovery and implementation from the subscriptions and usage needed after launch. Ask who owns each account, who receives the bills and what happens if usage increases.
What belongs in the estimate?
| Component | What changes the scope | Ask for |
|---|---|---|
| Process design | Exceptions, approvals and the number of teams involved | Inputs, outputs and acceptance examples |
| Integrations | API access, permissions, inconsistent records and custom fields | A list of systems and supported actions |
| AI usage | Document size, model choice, call duration and task volume | Usage assumptions, limits and who pays the provider |
| Hosting and software | Workers, storage, databases, phone numbers and paid app tiers | Recurring items separate from the build fee |
| Support | Monitoring, failed jobs, provider changes and new requirements | Maintenance responsibilities and change-request terms |
A practical way to compare proposals
Compare the same workflow across proposals. Does each quote cover data cleanup, testing with exceptions, deployment, documentation and handover? A lower build price may exclude those items. Ask which provider charges are estimates and which fees are fixed in the agreement.
For a document agent, agree on representative files and questions before estimating usage. For a voice system, establish expected call volume, average duration, transfers and calendar integration. These inputs are more useful than an unsupported promise of a fixed monthly saving.
What should you bring to discovery?
- One task, its trigger and what a successful result looks like.
- Your tools, account tiers and available API permissions.
- Approximate task or call volume and the exceptions your team handles.
- Sample records with confidential information removed.
- The person who reviews results and owns the workflow after launch.
How we approach scope
At Pixel AI Solutions, the starting point is a defined workflow and its checks. Implementation scope, milestones, ownership and support are agreed for that project. We do not publish a universal delivery time or savings figure. Our Analytics Depot case study shows how document analysis can involve retrieval, validation, background workers and production infrastructure beyond a chat interface.
Start with a smaller, useful workflow when it lets you test the process before expanding. Read how to choose the first task, or explore workflow automation services.
